At Prova Systems, we take your privacy seriously.

This document explains what kind of information Prova Systems collects and stores, including Personally Identifiable Information (data that can be reasonably linked to a specific individual, household or business).

We pledge to:

1. Be transparent about the different types of information we collect and how we use them.

2. Ask your permission before sharing your Personally Identifiable Information with third parties for purposes other than to provide Prova Systems’ services, and to do so only when we think they will provide you with a welcome additional service.

3. Use best-in-class data security tools to keep your data safe and protect the Prova Systems Fleet Genius® system from unauthorized access.

What information does the Prova Systems Fleet Genius® Fleet Management System collect?

The Prova Prova Systems Fleet Genius® Fleet Management system collects:

• Information input during setup

• Vehicle and driver data from the Vehicle Health Monitor (VHM) and other sensors

• Driver behavior including speeding, braking and acceleration information

• Vehicle usage data which may include location based data

• Technical information from the device

• Driver license data and insurance policy data

Information input during setup: When you install the Prova Systems Fleet Genius® Fleet Management System, you’ll be asked several questions about your schedule to help create an initial program of temperature settings. For example, we’ll ask questions like, “Is Prova Systems located in a home or business?” We’ll also ask for your postal or zip code. In addition, Prova Systems pulls information directly from your vehicle(s). Answering these questions helps us to set up an initial program that will keep you comfortable.

Vehicle and Driver data from Prova Systems’ fleet management computers: We collect data from VHM OBD-2 devices and potentially additional sensors that are part of the Prova Systems Fleet Genius Fleet Management system. These devices collect data such as fuel efficiency, location, vehicle speed, throttle position, G-force measurements in the vehicle. By recording this information, the Prova Systems Fleet Genius® Fleet Management system can determine the performance and health of the vehicle and make determinations on individual driver’s safety performance. For example, if Prova Systems VHM detects a hard braking event it will record that for upload to the Fleet Genius servers for later analysis which may be used to determine your safe driving habits. Similarly, if we record the speed profile for every vehicle trip which will show potential instances where you have driven at speeds higher than the legal limits.

Technical information from the device: In order to improve your experience over time and help troubleshoot any problem you may encounter with the Prova Systems Fleet Genius® Fleet Management system, we record your Prova Systems product model and serial number, software version, and technical information.

What additional information does Prova Systems collect and store when a user connects their device to the internet?

To access your Prova Systems Fleet Genius® Fleet Management system over the Internet from a computer, a smartphone or a tablet, you will need to connect it to your Wi-Fi network or a cellular network. During setup, the Prova Systems Fleet Genius® Fleet Management system may ask for your Wi-Fi network name (SSID) and password to connect to the Internet. It will save this information on the device, along with your IP address, so that you can access it and control it from your computer, smartphone or tablet, and so that it can communicate with Prova Systems servers and download software updates.

Once connected to your Wi-Fi network, your Prova Systems Fleet Genius® Fleet Management system regularly uploads to Prova Systems cloud servers the data mentioned above (excluding your Wi-Fi password) to provide you with the service.

Additionally, when you create a Prova Systems Account, we collect and store your email address. From that point forward, your email address is used for communications from Prova Systems.

Like most Internet sites, we routinely record log entries (including information such as your IP address) and technical information (such as your browser type and version) when your browser, mobile device or Prova Systems Fleet Genius® Fleet Management system contacts our servers. These log files are used for troubleshooting and are stored on our cloud servers.

How does Prova Systems use the information it collects?

We use this information to provide and improve the Prova Systems Services. We may use your email address to send you this information, or to ask you to participate in surveys about your Prova Systems use. We use service providers to perform some of these functions. Those service providers are restricted from sharing your information for any other purpose.

We use industry-standard methods to keep this information safe and secure while transmitted over your home network and through the Internet to our cloud servers.

With whom does Prova Systems share my information?

Under no circumstance do we share Personally Identifiable Information for any commercial or marketing purpose unrelated to the delivery of the Prova Systems service without asking you first. Period.

Our service technicians and other Prova Systems employees have supervised access to your information so they can answer your questions if you contact us for help and so they can monitor our servers for technical problems.

We may share your aggregated and anonymous information in a variety of ways, including to publish trends about fuel efficiency, location, and driving habits, to help generally improve our system and services. We’ve taken steps to ensure that the information cannot be linked back to you and we require our partners to keep all information in its anonymous form.

Your personal information may be collected, processed and stored by Prova Systems or its service providers in the United States and other countries where our servers reside. As a result, your personal information may be subject to legal requirements, including lawful requirements to disclose personal information to government authorities, in those jurisdictions. We will disclose information to law enforcement, or to comply with other legal requests, only if provided with sufficient and appropriate legal process. 
 If you select an outside party for the purchase, installation, or service of your Prova Systems device and share your personal information, we cannot control the collection, storage or sharing of information collected by that party. Or the party that installed the device may retain information that you provided to them to assist them in servicing the device if needed. Always check the privacy policies for any company that collects your personal information.

Finally, information collected on devices installed in automobiles used by our customers’ employees and/or contractors may be freely shared with our customers. If you are the employee or contractor of a Prova Systems customer who has installed a device on a vehicle to be used by you in the performance of your duties, you understand and acknowledge that any data and information collected by the device will be freely shared with our customer without your consent and you hereby agree to release, indemnify, defend, and hold Prova Systems harmless from and against any claim you may have against Prova Systems as a result of any action taken by Prova Systems’s customer as a result of any data or information collected by such device.

How long does Prova Systems save my personal information and how can I delete it?

Prova Systems stores your Personally Identifiable Information on Fleet Genius® cloud servers for as long as you remain a Prova Systems customer in order to provide you with the service; provided, however, that Prova Systems may, at its option, anonymize and indefinitely store information relating to your driving such as fuel efficiency, location, vehicle speed, throttle position, and G-force measurements so as to analyze, improve and optimize Prova Systems’ product offerings.

As described above, if any information is stored directly on the Prova Systems device. All information is encrypted and cannot easily be accessed. You can delete the information on the Prova Systems device by resetting it to the defaults (using Reset in the Settings menu).

If you want to delete your Personally Identifiable Information from Prova Systems’ servers, please email us at [email protected] Because of the way we maintain certain services, after your information is deleted, backup copies may linger for some time before they are deleted.

  • Hardware development: we have the capability to adapt our existing wireless systems to meet any business challenge. Development includes new hardware features, sensor development, inclusion of new wireless technologies.
  • Software development: need additional modules and capabilities we have a full Ruby-on-rails development team to help you develop whatever system you need.
